Make ChatGPT remember your business
A one-page business brain you paste once. Every chat after that knows your prices, your tone and your customers.
You need: ChatGPT (free or paid) or Claude (free or paid)
Most people re-explain their business in every new chat, then wonder why the answers sound generic. A Project fixes that: it is a folder with standing instructions and files that every chat inside it reads first.
Set it up
- 1ChatGPT: open the sidebar, press New project, name it after your business. Claude: open Projects, press Create project.
- 2Open the project's Instructions (ChatGPT: the project settings; Claude: "Set project instructions") and paste the business brain template below. Fill in the [brackets].
- 3Add files: your price list, your FAQ, two or three emails or posts you're proud of. PDFs and Word files are fine.
- 4Start every work chat inside this project. Test it: ask "Write a reply to a customer asking if we can fit them in Saturday."

You are the assistant for [BUSINESS NAME], a [what you do] in [city, country]. ABOUT US - Customers: [who buys, e.g. busy parents within 5 miles] - What we sell and prices: [3-6 main services with prices] - Opening hours and booking: [hours, how people book, deposit rules] - What makes us different: [2-3 honest reasons people pick us] HOW WE SOUND - Tone: [e.g. warm, short, no corporate words] - We always: [e.g. use the customer's first name, give one clear next step] - We never: [e.g. promise discounts, use exclamation marks twice] RULES FOR YOU - Ask me one question if something important is missing. Do not guess prices or dates. - Keep replies short enough to send from a phone. - When you write for customers, write in British/American English: [pick one]. - If I paste a customer message, give me 2 reply options: one short, one warmer.
Keep it under one page. Short and true beats long and vague.
Ashar's tip: Update the brain when your prices change. Old facts in the instructions are the number one reason the answers drift.
